How do I report a body corporate maintenance issue?

A useful maintenance report says what happened, where it happened, when it started and what evidence is available. It should also make urgency and access requirements clear.

General information, not legal advice

Use a simple report structure

  • Location: building, level, lot or shared facility
  • Issue: plain-language description of the defect
  • Timing: when it was noticed and whether it is recurring
  • Impact: safety, water, access, hygiene or service interruption
  • Evidence: photos, video, readings or previous reference numbers
  • Access: contact details and any access restrictions

Separate urgency from frustration

Explain the practical risk and immediate impact. A leaking ceiling, failed access system or unsafe shared area may need a different response from a cosmetic defect. Accurate detail helps the person receiving the report triage it and assign the right next action.

Keep the record active until completion

Save the acknowledgement, inspection outcome, contractor attendance, updates and completion evidence. Do not treat a contractor visit or a promised action as completion unless the outcome has been checked.
